How much should you be spending on Telematics, Dashcams, and ELDs
Telematics, as we often preach, is an investment not a traditional cost for truck fleet operators. That being said, there’s no reason to spend more than you have to. If you are a small to mid-size fleet, money definitely matters and we’re here to help. So how much should you be spending on telematics?
The Short Answer
For a small fleet in 2025, you can expect the monthly subscription for telematics services to range from $15 to $50 per vehicle, per month.
That’s a pretty wide range, I know. Where you land on that spectrum depends on a few key factors. Think of it like buying a truck—you can get a basic, no-frills workhorse or a fully-loaded rig with all the chrome and comfort features.
Breaking Down the Costs: What Are You Paying For?
The monthly fee typically covers the software subscription, data transmission, and customer support. The price varies based on the features you need. Let’s put these into tiers:
Tier 1: The Essentials (Typically $15 – $25 per vehicle/month)
This is your entry-level, budget-friendly package. It’s perfect for a small fleet owner who is primarily concerned with meeting ELD compliance and knowing where their trucks are.
-
What’s included:
- ELD Compliance: Meets all FMCSA requirements for Hours of Service (HOS) logging. This is the non-negotiable part.
- Basic GPS Tracking: Real-time location tracking (though the refresh rate might be every couple of minutes instead of every few seconds).
- Basic Reporting: Simple reports on mileage, stops, and location history.
-
Who it’s for: The small fleet owner who needs to be compliant and wants to dip their toes in the water without a significant financial commitment. My friend, “Compliance Chris,” who runs five dump trucks, uses a system like this. It keeps the DOT happy and tells him where his guys are, and that’s all he needs for now.
Tier 2: The Efficiency Package (Typically $25 – $40 per vehicle/month)
This is the sweet spot for most growing fleets. It includes everything from the Essentials tier and adds powerful tools to help you actively manage and improve your operations.
-
What’s included:
- All of the Essentials features.
- Driver Behavior Monitoring: Alerts for harsh braking, rapid acceleration, and speeding.
- Vehicle Diagnostics: Pulls basic fault codes from the engine, alerting you to potential maintenance issues before they become major problems.
- Fuel Monitoring: Tracks idle time and may integrate with fuel cards to monitor MPG and identify waste.
- Geofencing: Set up virtual boundaries and get alerts when a truck enters or leaves a specific area (like a job site or a “no-go” zone).
- More Advanced Reporting & Analytics.
-
Who it’s for: The fleet manager who has moved beyond just compliance and wants to actively reduce fuel costs, improve safety, and streamline maintenance. This is the tier where you start seeing a very clear and rapid return on investment.
Tier 3: The Full Power Suite with Video (Typically $40 – $60+ per vehicle/month)
This top tier integrates video and advanced AI features. While the price is higher, the safety and liability protection can be invaluable.
-
What’s included:
- All of the Efficiency Package features.
- AI-Powered Dash Cams: Dual-facing (road and driver) cameras that don’t just record but actively identify and alert on risky behavior like cell phone use or drowsiness.
- Event-Triggered Video: Automatically uploads short video clips to the cloud when a harsh event (like a crash or near-miss) occurs, giving you immediate context.
- Driver Coaching Tools: In-cab audio alerts and a platform for reviewing events with drivers.
-
Who it’s for: The safety-conscious fleet that wants the ultimate liability shield. My pal, “Insurance-Savvy Sally,” who manages a 30-truck local delivery fleet, swears by her video telematics. She told me one video clip exonerated her driver in what would have been a “he-said, she-said” accident, saving her tens of thousands of dollars on the claim and preventing her premiums from skyrocketing. The system paid for itself for the next five years with that one incident.
Don’t Forget the Hardware!
While the monthly fee is the recurring cost, some providers require an upfront payment for the hardware (the ELD device and/or dash cam), which can range from $100 to $500 per truck. However, many companies today will roll the cost of the hardware into the monthly subscription or offer “free” hardware in exchange for a longer contract (usually 3 years). Always read the fine print on those “free” deals!
My advice? Start with a clear idea of your biggest problems, get quotes that align with those needs, and don’t be afraid to tell a sales rep, “That’s more than I need.” A good provider will find a solution that fits your budget and grows with you.
